In document libraries in both SharePoint 2007 and SharePoint 2010, have you ever noticed there are three different columns that begin with "Name"?

This question came up yesterday so I decided to write a quick post and just put down some basic information about each of the columns:

Column Name

Actions

Notes

Name (linked to document with edit menu)

  • Drop-down context menu may include:
    • View Properties
    • Edit Properties
    • Version History
    • Edit (in client software)
    • Delete
    • Check Out
    • Workflows
    • Alert Me
  • Clicking on field in library or web part view opens a dialog box which gives users with Contribute permissions the option to open as Read-Only or to Edit.
  • This column is included in the default view when a new library is created.

Name (linked to document)

  • No drop-down context menu.
  • Clicking on field in library or web part view will open document as Read-Only.
  • To allow users to view or edit properties, also include the Edit (link to edit item) column.

Name (for use in forms)

  • No drop-down context menu.
  • Clicking on field in library or web part view will open document as Read-Only.
  • To allow users to view or edit properties, also include the Edit (link to edit item) column.
  • The "! New" icon is not shown in this column.
